Planning your next event – top 10 tips for a successful function

 

Many people panic at the thought of having to plan a function. There are often a lot of elements that  need to be considered and we can quite often feel a little intimidated about understand quotes and what inclusions mean so here are my top 10 tips for planning a successful function or event:

  • Work out what it is you want, then do your research: It is important to have a clear idea about the style and look of an event. The internet is an amazing tool so get googling – there is so much information and advice out there to help guide you.

  • Try and work with as few suppliers as possible: this will save on delivery bills and will make co-ordinating your event much easier.

  • Be open about your budget and be sure to communicate this. If you keep your budget a secret, the supplier will not be able to work within it. More often than not, it is possible for suppliers to customise a range of elements to accommodate different budgets.

  • Keep track of your expenses: Don’t be afraid to run a spreadsheet when it comes to your budget. If you know where the money is going then you know how things stand as you nail down more details.

  • Spread your budget: Typically, people allocate most of their budget to food and beverages but this can be a mistake. Most guests won’t recall what they ate after an event unless it was terrible. What they are more likely to remember is the overall experience – this is the look of the venue combined with the entertainment and how these created the right atmosphere.

  • Avoid assumptions: Many people make the mistake of thinking a supplier or venue might be too expensive. It is always better to ask and find out than be left wondering.

  • Get a detailed quote: this means that you will know exactly what is included. You should be able to get a quote before confirming a booking. Always ask if there are any other costs that need to be considered.

  • Keep it simple when planning your menu: Many venues or caterers are happy to help you work out a menu that will be right for your function and that will maximise your budget as well as the end food that people will be eating.

  • Work to strengths: this is particularly so with a venue. Choose a theme that works with the venue and compliments key features. Talk to the venue and usually they will be more than happy to give you advice and guidance.

  • Budget for maximum effect: If you are working with a tight budget, then choose one thing that will really create impact. Simple things that are done well can create a co-ordinated look and this always looks fantastic.
